People Inc. Time

Designed to enable users to schedule work-patterns and manage employee timekeeping, People Inc. Time combines hardware and software elements to provide a fully featured Time & Attendance system.

With the additional benefits of the HR functionality from People Inc. and an integrated Employee Self Service module, People Inc. Time is powerful, flexible, up-to-date and cost-effective.

System Features

The People Inc. Time system provides users with the following features and benefits:

Flexible work pattern planning that can be configured quickly and easily, and allows users to cater for variable staffing requirements.
Facility to define standard business rules associated with shift patterns, overtime, holidays, and exceptions.
Time registration via a range of devices, including modern clock-terminals, PC clocking-agent, and web-based time registration tools.
Real time e-Mail alerts generated by the system and sent to managers as required.
A suite of standard reports used to feed payroll, provide management reporting and identify absence trends as required.
HR database to manage all aspects of HR including headcount and staff-turnover, remuneration, appraisals and staff development, recruitment, etc.
Access Control features to control and record employee access to buildings and areas.
Employee Self-Service enables employees to view attendance records and request holidays.
Data extraction generates information required by payroll service or software.
Information recorded securely in one database based on Microsoft SQL Server technology.
Operates over a wide-area network; one copy of People Inc. Time can be used to manage staff-attendance at many sites.

Planning and Scheduling Staff

People Inc. provides users with a flexible work pattern planning tool that is easy to use, and provides the flexibility required to deal with the variable demands placed on a modern workforce. Work schedules can be evolved and duplicated period-by period as required. Access to the work-schedule can be provided at line-manager level, encouraging and empowering team-leaders, and spreading the work-load effectively. The line-manager is provided with information detailing the availability of individual employees for each day (displayed clearly in a colour-coded chart) and the work schedule can be adapted to ensure sufficient resource is available to cope with the planned workload.

Time Registration

Employees clock-in using a hardware clock terminal and optionally, a proximity tag (or badge). Alternatively, staff with access to a computer can clock-in using various clocking software tools. All clock times are recorded in People Inc. Time. The system can be configured to apply standard business rules to clock times (when employees are paid, if they clock in before time, overtime rates, holiday allowances); clock times are also compared to the work schedule. Real-time alerts are routed to managers to enable them to react to resourcing issues quickly, and data held in the system can be updated team-by-team (for example, changes to rosters and sickness registration).

Hardware and Access Control

People Inc. Time system is provided with a full range of hardware clocks and data collection terminals. Access is controlled using a system of “terminal groups” or access for individual employees. Employees can only use access groups or terminals for which they are members. In this way, all activity to different areas is monitored and recorded. A high level of security is therefore provided for both visitors and employees. Software and hardware can be combined to provide the optimum solution for data capture from all areas.

Reporting and Payroll Exports

Clock times (attendance), the work schedule, and employee absence can be analysed using reports. Standard reports are provided with the People Inc. Time system. It is also possible to design further reports using the report designer. Where organisations wish to export information so that it can be used to process the payroll, this can be achieved using reports (generated as MS Excel spreadsheets or PDF documents).

Employee Self Service

Granting access to the system to view the work schedule, the hours worked, and to submit holiday requests can be done via the Employee Self Service module. This minimises the number of queries raised by individuals and improves communication and efficiency. ESSM users have secure access to their own details, and to relevant information about other members of their team.

HR Functionality

People Inc. Time includes the full functionality available in our People Inc. HR management module; providing the benefits of 2 modules in one. The HR People Inc. module enables users to manage all aspects of HR, including:

Basic employee details (name address, key dates, equal-ops, etc.).
Absence allowances (absence records shared with People Inc. Time in a single database)
Job details, establishment, headcount, career history
Remuneration (pay and benefits). Produces benefits summary and manages pay reviews.
Appraisals and training needs, course bookings
Recruitment (including internal recruitment)
Company cars and pool vehicles
Equipment issued (e.g. safety equipment, mobile phones)
Discipline and grievance
Next of kin, bank account, medicals, maternity leave, paternity leave
The generation of reports letters (and e-Mails)

Software Upgrades

Software upgrades are provided free of charge as part of the maintenance agreement. The need for upgrades is driven my changes in legislation, changes in technology, and request from clients for additional features. Typically, upgrades are made available every 18 months to 2 years.

Hardware

The hardware used with People Inc. Time is supplied by Kaba Group. The Kaba Group is one of the world's leading suppliers of security equipment. Time and Attendance Terminals - Bedanet 9320

The Bedanet 93 20 terminal is easy-to-install and is designed for standalone or online operation. It has sufficient memory for 1,200 clock events.

The terminal records In/Out times as well as breaks and can display relevant information on an LCD screen (requested via buttons on the terminal itself, or sent from the system software.

The terminal is supplied with a proximity reader (or mag-swipe reader) and is linked to the system via a standard Ethernet interface. The Bedanet 93 20 terminal is particularly suitable as a solution for smaller companies and branch offices.
